At soink, we are committed to protecting your privacy. This Privacy Policy explains how AtaraFlow, LLC ("soink," "we," "us") collects, uses, and protects your information when you use our website, desktop application, and related services (collectively, the "Services"). By using the Services, you agree to the practices described here.

1. Information We Collect

Account Information. When you register, we collect your name, email address, and payment information (processed by Stripe — we never store your card number).

Voice & Audio Data. When you use soink's voice typing feature, your audio is transmitted to our servers solely to perform real-time transcription. Once transcription is complete, the audio is immediately and permanently deleted. We do not store voice recordings, transcription text, or on-screen context data on our servers.

Usage Data. We collect information about how you interact with the Services, such as device type, operating system, session duration, and crash reports. This data does not include your voice or transcription content.

Cookies. We use cookies to maintain your session and analyze website usage. You can control cookies through your browser settings.

2. Voice Data: Our Zero-Retention Commitment

We do not store your voice. Your audio is processed in real time to generate text and deleted immediately afterwards — automatically, with no grace period or archival. The resulting transcription text is also not retained on our servers; it remains on your device only.

If you voluntarily choose to submit feedback (for example, by clicking "Report an issue"), you may optionally include a short audio or text sample to help us investigate. This is strictly opt-in and requires your explicit action. Feedback data is retained only long enough to resolve the reported issue.

We do not use your voice data, transcriptions, or any submitted feedback to train AI models without your explicit consent.

3. How We Use Your Information

We use the information we collect to:

• Deliver and improve the Services, including real-time speech-to-text transcription;
• Manage your account and process payments;
• Send transactional emails (account confirmations, billing receipts, security alerts);
• Detect and prevent fraud, abuse, and security incidents;
• Comply with applicable legal obligations; and
• Send product updates or promotional communications where you have opted in.

4. How We Share Your Information

We do not sell your personal data. We share your information only in these circumstances:

Service Providers. We work with trusted third parties (cloud hosting, payment processing, analytics, LLM providers) who process your data on our behalf under contractual restrictions. See Section 5 for details on LLM providers.

Legal Compliance. We may disclose information if required by law, court order, or to protect the safety and rights of soink, our users, or the public.

Business Transfers. If soink is acquired or merges with another company, your data may transfer as part of that transaction. We will notify you if this occurs.

With Your Consent. We may share your information with third parties when you have given explicit consent.

5. Third-Party AI Processors

To provide AI-powered features, soink routes text data through third-party LLM providers, currently including OpenAI, Anthropic, and Google (Gemini). We configure these integrations under zero-retention settings where available, meaning these providers are instructed not to store or use your data beyond the immediate API call. Your data is never used by these providers to train their models. Each provider is bound by a Data Processing Agreement with soink.

6. Data Retention

We retain different types of data for different periods:

• Voice audio and transcription text: Not retained. Deleted immediately after transcription is delivered to your device.
• Account information: Retained for the life of your account, plus up to 90 days after deletion for legal compliance purposes.
• Billing records: Retained for 7 years as required by applicable tax law.
• Usage and analytics data: Retained for up to 26 months, then deleted or anonymized.
• Feedback submissions: Retained only as long as needed to resolve the reported issue.

7. Your Rights

You have the right to access, correct, or delete your personal data, and to withdraw consent where our processing is based on consent. To exercise any of these rights, email us at legal@soink.ai. We will respond within 30 days.

If you are in the European Economic Area, UK, or Switzerland, you have additional rights under the GDPR (including data portability and the right to object to processing), and you may lodge a complaint with your local data protection authority. If you are a California resident, you have rights under the CCPA, including the right to know what personal information we collect and to request its deletion.

We do not discriminate against users for exercising their privacy rights.

8. Children's Privacy

The Services are not intended for children under 13 (or 16 outside the US). We do not knowingly collect personal information from children below these ages. If you believe a child has provided us with their information, please contact us at legal@soink.ai and we will delete it promptly.

9. Changes and Contact

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or via a notice in the Services before the changes take effect. Continued use of the Services after the effective date constitutes acceptance.
